How to improve your time management skills in 1 DAY!!!

August 11, 2019

CARRY A
SCHEDULE AND RECORD ALL YOUR THOUGHTS, CONVERSATIONS AND ACTIVITIES FOR A WEEK This can be done through planning and goal-setting
and by maintaining an activity log. An activity log is a written record of how
you spend your time. Make a schedule or activity log for an entire
week. Weeks can be broken into days further. Start with a day and enlist all the daily
activities throughout the day. Writing it down really helps as it gives you
a clear picture. You will get an idea where your maximum time
is being spent. An activity log may have the following headings: 1) Date
2) Name of the activity 3) Start time
4) End time 5) Duration
6) Feelings 7) High value or low value After creating your activity log, please analyze
it. You may be amazed to see the results. 1) You will get a clearer picture of the activities
you have been doing throughout the day. 2) You can differentiate between your high-value
activities and low-value activities. 3) You may prioritize your tasks accordingly. You have 24 hours at your disposal, so it’s
imperative to plan it judiciously to reap maximum benefits. It would help you in understanding your productive
and unproductive time slots. For eg, you might feel fresh in the morning
and would like to start a new task. So you may appoint your morning time slot
for doing any productive activity as you feel high in your energy. It actually helps you in identifying your
best time slot when you can accomplish important tasks quickly. While low-value activities can be designed
at night. It may vary from person to person. Also, it’s important to take proper breaks
in between. Normally if you have been working for 50 minutes,
try to take a break for 10 minutes. It will keep you fresh and will keep your
brain sharp. Even the brain starts losing focus after some
time. So frequent breaks are necessary. ANY ACTIVITY OR CONVERSATION THAT’S IMPORTANT
TO YOUR SUCCESS SHOULD HAVE A TIMELINE ASSIGNED TO IT. You might be interested in taking a guitar
lesson but for how many months would you be pursuing it? You cannot do this indefinitely.T hink in
terms of months or years. Also, analyze if it is just a hobby or do
you see it as a career? If it’s career-related, then full-time commitment
is required. Here, I would like to give you some tips… TIP 1
THINK IN TERMS OF DAYS, MONTHS OR YEARS For instance, my husband loves playing the
guitar and he produces amazing music. It is one of his favorite hobbies and he derives
great satisfaction out of it. However, to pay his bills, he is engaged in
a full time IT career and he is successfully balancing both. TIP 2
IMPORTANCE OF PRIORITIZING He spends maximum time in his IT job and upgrades
his skills as per his professional needs. So this is his idea of managing time. When he plays guitar on weekends, it acts
as a stress buster and he enjoys it thoroughly. However, it is just a hobby, a passion and
not a career. So prioritizing is necessary for all of your
activities. Similarly, one needs to make a list of all
that is important to you, all that defines you and ensure that all of the items on that
list find a fair share of your time! TIP 3
ALIGNMENT BETWEEN YOUR GOALS AND YOUR TASKS Let’s take another example… You might be interested in doing a short-term
online course. There are thousands of courses available. You want to upgrade yourself and you are in
a dilemma. You need to carefully weigh all options and
choose the best course. Please think if it is just a hobby course
or is it aligned with your career? TIP 4
CHOOSE YOUR TASKS WISELY For eg, a leadership course might be something
which you have been intending to attend, But of course, it is a high-value program, no
doubts there. However, you need to ask yourself if you are
currently managing any teams right now? Would this course add value right away? Whatever skills you might be learning, does
it have any practical implication? Ponder over these points and take a decision
accordingly. How do you spend THE FIRST 30 MINUTES OF YOUR
DAY? What do you do in the first 30 minutes of
your day? Do you start your day by glancing at your
phone and scrolling through useless Facebook posts or do you do something productive? Do you actually plan your day or you get swayed
by different activities that life throws at you? Well, here are a few tips to get the day kick-started
that have helped me personally. You can, of course, tweak it as per your requirement. LIGHT EXERCISE
I try stretching for a few minutes to feel active and ready to face my day. I start my day with a glass full of water. It gives me an instant energy boost. ENERGY BOOST
I may opt for a juice or a green tea or a cup of milk depending on my mood because I
would be engaging in the most important activity i.e planning my day. Well, here are a few tips to get the day kick-started
that have helped me personally. You can, of course, tweak it as per your requirement. Planning and Goal Setting
Now, we are physically and mentally in the right space to begin planning. However, do we really need to plan? Yes, of course. Planning and goal setting is one of the most
important activities which are common to all successful people across the globe. Planning begins with goal setting. Goal setting has the following outcomes:
Long-term goals & Short term goals. But what do these actually mean? Long-term goals & Short-term goals
Long-term goals may span between 5 to 10 years of a timeframe. It means where do you see yourself after 5
years. It may be in terms of your career, family
or spiritual well being. Once you are done with your long-term planning,
break it into short-term goals. Break it into months, weeks and days. Think of all activities of a week and whether
it is aligned to your short-term as well as long-term goals. Focus on the activities of the current day. Short-term goals
“For example, I would like to learn Bengali cuisine in next 6 months. I need to decide how many new dishes I would
be requiring to learn per month, per week and per day. I may opt to try something new every day. This is my goal setting of the day. Importance of a “To-do -List”
Apart from your activities of higher value, there might be activities of lower value as
well which you might intend to do. For eg. Checking emails and responding to them. You can designate a time slot when you will
be replying to all the important emails. I personally use the Evernote app on my phone
for goal setting. It’s quite user-friendly and features are
excellent. For writing quick notes, I use ColorNotes
app. Again it is user-friendly and its color coordination
is interesting to try. How do you Check your appointments of the
day Have a quick review of all your meetings and
appointments of the day so that you don’t miss anything important. You might be interested in Google calendar
which will make your job quite easier. With this, I come to the end of the video. If you like it, then please hit the like button
